Members & access
Workspace membership is the access boundary — every member of a Workspace can see all of its Matters.
Add a member
Select the Workspace you want to manage
Switch to the Workspace using the top-right switcher.
Select Actions, then Manage Members
The Actions menu appears in the Workspace header. Owners and admins can manage members.
Click Add Member, then add by email and assign a role
Enter the person's work email and choose a role. The person must already be a user in your organization.
The new member sees the Workspace in their switcher and gains access to every Matter inside it.
Remove a member
Owners and admins can remove members. Matters and documents the removed member created stay in the Workspace.
Roles
The role determines what a user can do within that Workspace — distinct from the organization-level admin role, which is about organization-wide management.
| Role | Manage members | Edit settings (incl. AI instructions) | Delete the Workspace | Transfer ownership |
|---|---|---|---|---|
| Owner | Add, remove, change roles | Yes — all settings | Yes | Yes |
| Admin | Add, remove, change roles (cannot demote the Owner) | Yes — all settings | — | — |
| Member | View-only on the member list | View-only | — | — |
Multiple Admins per Workspace are allowed. Most users are Members. Organization admins manage the organization itself — workspaces, users, billing, and permissions — from the Organization tab.
All three roles — Owner, Admin, and Member — have full read/write access to every Matter and document inside the Workspace. The role only governs membership management and Workspace settings.
What's visible across Workspaces
| Surface | Scope |
|---|---|
| Matters list | Active Workspace only |
| AI Assistant retrieval | Active Workspace only |
| Tasks page | Active Workspace only |
| Library | Active Workspace + Personal Library + Org Library where one exists |
The Personal Workspace is the exception — it aggregates Matters across every Workspace you belong to.
Client and Project labels
Client and Project still exist as grouping tags on Matters — useful for filtering and reports. They are not access controls. Two Matters tagged with the same Client are not automatically visible to the same people. Access is decided by Workspace membership.
