Intake in Irys One

Intake

Intake is the front door. Anything that reaches the team lands here, gets read, and appears as a row in one register. Irys says what each thing is, pulls the facts out of it, and shows where every fact came from. You decide what happens next.

Intake sits first in the left rail, above Dashboard. Clicking it opens the register. Reviews is its only child: a review is a set of documents and the questions you asked of them, where rows are documents and columns are questions. Anything that arrived through Intake has already been read, so asking questions of it does not mean reading it again.

What arrives

An email and its attachments arrive as one item and one row. So does a document you upload on its own. An item carries a reference of its own, in the form IN-4192, and expands in place to show everything inside it.

The ways in:

Way inWhat it covers
UploadDrop an email with its attachments, or a single document, straight onto the register. Up to 500 files at a time.
Your intake mailboxThe mailbox your firm already uses for referrals and requests, connected once and then watched.
SignSigned agreements land on the register once Sign is wired to it.

Connecting Gmail or Outlook to Workbench is separate and does not put anything on the register. See Connecting your mailbox.

What Intake does with it

Every item is read on arrival. Irys works out which intake process caught it, pulls out the facts that process asks for, and routes it. Nothing is guessed quietly: an item Irys cannot call confidently is sent for a look rather than filed, and an item it cannot recognise at all says so in plain words instead of going blank.

Every fact carries a citation. Click it and you land in the Sources & Citations panel, then the document drawer, then the stored page and the quote it came from, the same chain you already use in a conversation. Irys does not put a fact on the register that it could not trace back to words in a document.

A citation tells you where a reading came from. It does not tell you that the reading is the right one for what you are deciding, so open the source and read it before you rely on it.

An item exists before a matter

An item is not a matter and may never need to be one. Most of what reaches a legal team is a question, a notice, or a request that is answered and closed. The item layer holds all of it, so the register stays true without filling Matters with work that was never a matter.

When an item does need to go somewhere, it goes one of five ways: assign it to someone, make it a matter, send it to Sign, open it in Workbench, or record that it went to outside counsel. None of them happen silently, and a person takes every one of them.

Intake is not a CLM

Intake owns arrival and triage. A contract lifecycle system owns the contract lifecycle. They are different jobs, and a team running both keeps both: pull executed agreements into Reviews when you need to analyse them, and hand a contract request caught at intake into the system that manages contracts. Most of what reaches a legal team is not a contract at all, and that is the part Intake is for.
