Tracking agreements
Every signature request lands in the Sign register, and stays there through the stages until it is signed. The register is a table by default, and the same agreements can be read as a board.
The tabs
The page opens on Overview. The tabs beside it divide agreements by whose move it is.
| Tab | What it holds |
|---|---|
| Your move | Agreements where the next move is yours. Nothing on this list moves until you act. |
| In flight | Every live agreement, with signed ones left out. |
| Waiting on them | Agreements where the next move belongs to the other side. |
| Obligations | Marked as coming soon. |
| All | Everything, signed agreements included. |
Each tab carries its own count, and the counts inside the filters are scoped to the tab you are on rather than to the whole register.
The stages
Stage is the other axis. An agreement sits in exactly one stage at a time, and the Stage filter lists them with a count each.
| Stage | Where the agreement is |
|---|---|
| Requested | Someone has asked for the agreement. The drafting has not started. |
| Drafting | The document is being written or revised on your side. |
| Internal review | It is with someone on your side before it goes out. |
| With the other side | They have it. This is the negotiating window. |
| Ready to sign | The wording is settled and it can go out for signature. |
| Out for signature | It has gone out and signatures are being collected. |
| Signed | Everyone has signed. |
Two more states close an agreement without a signature. Expired means the expiry date passed. Cancelled means the request was cancelled. Both sit under a Closed group, and you can still open them.
Your move gathers Requested, Drafting, Internal review, and Ready to sign. Waiting on them gathers With the other side and Out for signature. Signed agreements appear in All.
Narrowing the list
The search box filters agreements by name. Beside it:
- Stage filters to one stage.
- Action filters by the move that is waiting: Approve, Sign, Send, Resend, or Open.
- Group by groups the list by Whose move or by Action. Grouping by whose move gives headed blocks for Your move, With the other side, and Signed.
- Rows switches row height between Comfortable and Compact.
- List and Board switch the shape of the whole view.
What a row tells you
Each row carries the title of the agreement, the matter it belongs to and the relationship to the other side, where it stands, and the actions available on it.
Where it stands is two lines: the stage it is in, and how long it has been sitting there. The second line also says in plain words where the signing has got to, such as that the request has not been sent yet. Time in stage is the thing to read when you are looking for work that has stalled, because an agreement can sit in a healthy stage for an unhealthy number of days.
Acting on a row
Every row has an Open button and a three-dot menu. What the menu offers depends on the state of the agreement.
| Action | What it does |
|---|---|
| Open the agreement | Opens the agreement to read it. |
| Open in Workbench | Takes the agreement's documents into a Workbench chat. |
| Edit agreement | Reopens a request that has not gone out yet. |
| Resend | Sends the request to the signers again. |
| Open the matter | Jumps to the matter the agreement belongs to. |
| Cancel request | Cancels the signature request. |
A request still in Drafting offers Edit agreement. One that has already gone out offers Resend and Open the matter instead.
Which workspace an agreement belongs to
A signature request belongs to the workspace it was sent from. It appears on that workspace's Sign page and does not roll up into your Personal workspace, so if a request is missing from the register, check the workspace selector first.
When everyone has signed, the signed document files back to the matter the request was sent from. Every party to the agreement receives the signing record, including a signer with no Irys account.
